AI Supplementary Terms

1. Introduction

These AI Supplementary Terms ("AI Terms") govern your use of all artificial intelligence and machine-learning-powered features within the IS.TEAM platform (https://is.team), including but not limited to:

  • IS.AI LLM API — Programmatic AI agent integration for autonomous task management
  • AI Task Assistant — In-app AI assistant for task creation, editing, and management
  • AI Workflow Planner — Automated board structure and workflow generation
  • Meeting Notes — Voice recording, AI transcription, and action item extraction
  • AI-generated comments — Comments attributed to AI agents acting under ist_ tokens

These AI Terms are supplementary to and incorporated into our Terms of Service. In the event of a conflict between these AI Terms and the main Terms of Service with respect to AI features, these AI Terms govern. Capitalized terms not defined here have the meanings given in the Terms of Service.

By using any AI-powered feature, you agree to these AI Terms.


2. Description of AI Features

2.1 IS.AI LLM API

The IS.AI LLM API allows external AI agents (including large language models you operate or subscribe to, such as Anthropic Claude, OpenAI GPT, or others) to interact with your IS.TEAM boards programmatically using a scoped API token (ist_ prefix).

Capabilities exposed via IS.AI API:

  • Read board and column structure, task list, task details, and comments
  • Post comments on tasks (attributed to the AI agent)
  • Mark tasks as complete or incomplete
  • Move tasks between columns (by column title)
  • (Future capabilities will be listed in the Developer & API Terms as they are released)

Token Scoping: Each ist_ token is scoped to a single board. A token cannot access data from boards or workspaces other than the one it was issued for. Board owners control token issuance and revocation from Board Settings.

Rate Limits: IS.AI API endpoints are subject to rate limits defined in the Developer & API Terms. Abuse of rate limits may result in token suspension.

2.2 Meeting Notes

The Meeting Notes feature uses:

  • Daily.co infrastructure for voice room creation and audio capture
  • Google Gemini 2.5 Flash for transcription and action item extraction
  • IS.TEAM's own processing layer to create tasks from extracted action items

Users initiate recording manually. Recording cannot be started without your affirmative action (clicking "Record"). The platform does not record passively.

2.3 AI Task Assistant

An in-app assistant available within boards that can suggest task descriptions, generate subtask lists, draft acceptance criteria, and answer questions about board content. This feature uses Google Gemini 2.5 Flash as the underlying model.

2.4 AI Workflow Planner

An onboarding and productivity feature that generates suggested board structures (columns and sample tasks) based on your project type description. This feature uses Google Gemini 2.5 Flash as the underlying model.


3. Data Used by AI Features

3.2 What We Do Not Send

  • We do not send entire workspace contents, other boards' data, or member personal information to AI providers except as strictly necessary for the feature in use
  • We do not send payment information, authentication credentials, or OAuth tokens to AI providers
  • We do not send voice recordings from one user's meeting to any other user's AI processing

3.3 Model Training

IS.TEAM does not use your content to train AI models, whether operated by IS.TEAM or Google. Our agreement with Google restricts their use of data submitted via the Gemini API to service provision only. Audio recordings submitted for transcription are not used for Google's general model training under our enterprise data processing agreement.

3.4 Data Retention for AI Processing

  • Audio recordings: Transmitted to Google for transcription and deleted from IS.TEAM servers once transcription is complete (within minutes). Google's data retention policies apply during their processing window (typically no persistent retention under API usage terms).
  • Transcripts: Stored in Firestore as part of your workspace data. Retained until you delete them or your account is deleted.
  • AI Task Assistant queries: Processed in real-time and not persistently stored by IS.TEAM beyond the session. Query content may be retained by Google for a limited period per their API terms.
  • AI Workflow Planner inputs: Not stored after the workflow is generated.

4. Your Responsibilities When Using AI Features

4.1 Content Responsibility

You are solely responsible for:

  • All content you input into AI features (prompts, task descriptions, recordings)
  • Reviewing and validating AI-generated output before acting on it
  • All actions taken by AI agents operating under ist_ API tokens you have issued
  • Ensuring your use of AI features complies with applicable law and professional regulations in your jurisdiction

IS.TEAM is not responsible for errors, omissions, or harmful outcomes resulting from reliance on AI-generated content without independent human review.

4.2 AI Agent Conduct

If you integrate an external AI agent with the IS.AI API:

  • You are responsible for all actions that agent takes on your boards
  • You must ensure the AI agent operates only within its authorized scope
  • You must monitor AI agent activity and revoke tokens if the agent behaves unexpectedly
  • AI agents operating under your tokens are subject to all IS.TEAM policies, including the Acceptable Use Policy
  • You must not configure an AI agent to harass, spam, or take unauthorized actions affecting other users

4.3 Voice Recording and Consent

Before using the Meeting Notes recording feature:

  • You must inform all meeting participants that the session will be recorded
  • You must obtain all legally required consents under federal and state law (including two-party consent states: CA, FL, IL, MD, MA, MI, MT, NV, NH, OR, PA, WA)
  • You bear sole legal responsibility for compliance with wiretapping, electronic surveillance, and recording consent laws in all applicable jurisdictions
  • IS.TEAM expressly disclaims all liability arising from your failure to obtain required recording consents

4.4 Prohibited AI Inputs

You must not input into any AI feature:

  • Personal information of third parties without their consent
  • Health, financial, or legal information subject to regulated confidentiality (HIPAA, GLBA, attorney-client privilege) unless you have independently ensured compliance
  • Prompts designed to elicit harmful, illegal, or policy-violating outputs
  • Content that violates the Acceptable Use Policy
  • Credentials, API keys, passwords, or other secrets (these should never be placed in task content)

5. AI Output Disclaimer

AI FEATURES ARE PROVIDED "AS IS" WITHOUT WARRANTIES OF ACCURACY, COMPLETENESS, OR FITNESS FOR ANY PARTICULAR PURPOSE.

Specifically:

  • AI-generated content (transcripts, task suggestions, workflow plans, comments) may contain errors, hallucinations, or omissions
  • AI-generated transcripts of voice recordings are approximations and may not be verbatim
  • AI-extracted action items may miss items or include inaccurate attributions
  • AI-generated board structures and task suggestions are starting points, not professional advice

You must not rely on AI-generated output as the sole basis for:

  • Legal, medical, financial, safety-critical, or compliance decisions
  • Actions affecting third parties' rights or interests without independent human review
  • Commitments to clients or partners derived purely from AI analysis

IS.TEAM's liability for AI feature errors is limited to the same cap as the general Service liability cap in the Terms of Service. We are not liable for business losses, missed deadlines, client disputes, or other downstream consequences of reliance on AI-generated content.


6. AI Ethics and Safety

IS.TEAM is committed to responsible AI use:

Transparency

  • AI-generated comments posted via the IS.AI API are attributed to the agent name you configure, making AI authorship visible to workspace members
  • We disclose which AI models power our features (Google Gemini 2.5 Flash) and update this disclosure when models change

Human Oversight

  • All AI features are designed to assist human decision-making, not replace it
  • No IS.TEAM AI feature takes autonomous action on your data without an explicit user action (starting a recording, issuing an API request, clicking "Generate")

No Discriminatory Use

  • You must not use AI features to make or facilitate decisions that discriminate against individuals based on protected characteristics
  • You must not use AI features to build systems that profile individuals for marketing, screening, or scoring without appropriate disclosure and consent

Adversarial Use Prohibition

  • You must not attempt to "jailbreak" or otherwise circumvent the safety measures of AI models used by IS.TEAM features

7. Third-Party AI Models and Providers

IS.TEAM currently uses Google Gemini (Google LLC) as its primary AI provider for transcription and generative features. The IS.AI API is designed to work with any external AI model of your choosing (Anthropic Claude, OpenAI GPT, etc.); those models are your independent choice and are governed by their providers' own terms of service and privacy policies.

IS.TEAM makes no representations or warranties regarding:

  • The accuracy, safety, or compliance of third-party AI models you choose to integrate
  • The terms, pricing, availability, or behavior of third-party AI providers
  • Any outputs generated by third-party models, even when those outputs are written to your IS.TEAM boards via the IS.AI API

You are solely responsible for your choice of external AI model and compliance with that model provider's terms of service.

Google Gemini API Terms: When IS.TEAM uses Google Gemini to process your data, Google's API Terms of Service and Data Processing Addendum apply to that processing. You may review Google's AI terms at https://ai.google.dev/terms.


8. Availability and Changes

AI features are provided as part of the Service subject to the same availability disclaimers as the rest of the platform. In addition:

  • AI features depend on third-party model availability (Google Gemini); disruptions to third-party providers may affect AI feature availability without constituting a Service failure by IS.TEAM
  • We may modify, replace, or discontinue AI models used to power features with 30 days' advance notice, except in cases where a model provider discontinues service (in which case we will notify you as soon as reasonably practicable)
  • Rate limits and capability boundaries of AI features may change with plan pricing

9. Feedback

If you provide feedback about AI features (bug reports, accuracy feedback, suggestions), you grant IS.TEAM a non-exclusive, royalty-free, perpetual license to use that feedback to improve the Service. Feedback does not include your User Content.


10. Changes to These AI Terms

We may update these AI Terms as AI features evolve. Material changes will be communicated via email and in-app notification at least 30 days before taking effect. For significant changes to data processing practices, we will provide more prominent notice and, where required by law, seek renewed consent.
